The HVAC answering service
that books the job, not a message.
A no-cool call in July is worth more than a week of ads. EchoCody answers on the first ring, screens the emergency, captures the address and equipment detail, and puts the job on your dispatch board. Inbound calls only.

01The missed call problem
Where hvac revenue leaks.
Every one of these is an inbound call you already paid for. The only question is whether anyone picks it up.
The peak-day flood
The first heat wave triples your call volume. Office staff can only hold one line. Everyone else hears a voicemail greeting and calls the next company on the list.
After-hours no-heat
The calls that pay the best come at 9pm in February. An answering service that only takes a message loses the premium job to whoever picks up.
Maintenance calls that never convert
Tune-up and filter calls tie up the line and rarely get logged. Cody captures the contact and the equipment history either way.
02How the call runs
Answer, triage, book, hand off.
One call path with a measurable end result at every step and a human escalation route when the situation requires one.
Step 01
Answer
Cody picks up on the first ring, day or night, and identifies itself as an AI assistant with your company.
Step 02
Triage
No heat, no cool, water at the air handler, burning smell, or routine maintenance. Emergencies get flagged before anything else.
Step 03
Qualify
Service address, system type and age, whether the unit is under warranty, and whether the caller is the homeowner.
Step 04
Book
Two specific arrival windows off your live calendar, then a confirmation text with the window and your dispatch policy.
Step 05
Hand off
Structured notes, contact record and next action land in your CRM with an owner and a due time.
Step 06
Text back
Any call that still ends unanswered gets an immediate text so the homeowner has a live thread instead of a dead end.
03Triage rules
Emergencies never sit behind a scheduling script.
Safety and severity are evaluated before anything else on the call. Terminal and hazard conditions bypass sales handling entirely.
- No heat with an infant, elderly resident or freezing conditions
- Gas smell or carbon monoxide alarm goes straight to safety script and human escalation
- No cool during a heat advisory
- Water leaking from the air handler or condensate line
- Routine maintenance and filter changes scheduled into open capacity
EchoCody answers inbound calls only. It does not place outbound sales calls. Missed-caller text back runs only with consent and honors STOP and do-not-contact immediately.
04Questions
HVAC answering service FAQ
- Does the AI answering service replace my dispatcher?
- No. It covers the calls your dispatcher cannot reach: overlapping lines, nights, weekends and peak days. Everything it captures lands in your CRM so your dispatcher works a clean board instead of a voicemail queue.
- Can it book directly on my schedule?
- Yes. Cody offers arrival windows from your live calendar and writes the confirmed job back with the address, equipment detail and triage notes.
- What happens with a gas smell or carbon monoxide call?
- That call bypasses sales handling entirely. Cody runs a safety script, tells the caller to leave the home and contact the utility or emergency services, and escalates to your on-call human immediately.
- Does EchoCody make outbound calls to my leads?
- No. EchoCody is inbound only. It answers calls placed to your number and can text back missed callers with consent. It never dials a homeowner.
- How long does setup take for an HVAC company?
- Setup covers your service area, equipment brands, dispatch fees, hours, escalation contacts and calendar. Most shops are live after a single build cycle with a review call before the line goes hot.
